Partners of the Americas is committed to delivering a high-quality and impactful What Works Conference experience for all participants. Speakers play an essential role in ensuring the success of the event. This policy outlines the procedures and expectations in the event of a speaker’s need to withdraw from their scheduled presentation.
Notification of Withdrawal Speakers who are unable to fulfill their commitment to present at the What Works Conference must notify the Conference Planning Committee immediately. Notification should be made in writing via email to PartnersEvents@partners.net as soon as possible, and no later than 45 days before the event (Sunday, January 5, 2025).
Replacement Speaker In the event of a speaker's withdrawal, the speaker may recommend a qualified replacement. The replacement must be approved by the Conference Planning Committee to ensure alignment with the conference’s goals and standards. If no suitable replacement is found, the Conference Planning Committee reserves the right to reassign the session or make other adjustments to the conference schedule.
No Replacement Available If a speaker cannot provide a replacement, and the session is critical to the conference agenda, the Conference Planning Committee may select and invite an alternative speaker. Should no alternative speaker be available, the session may be canceled or replaced with another relevant session.
Refund of Speaker Registration (if applicable) If the speaker has already paid a registration fee and withdraws before the 45-day notification deadline, they may be eligible for a refund of their conference registration fees. Withdrawal within 45 days of the conference will forfeit the registration fee unless there are extenuating circumstances, which will be reviewed on a case-by-case basis.
Exceptional Circumstances We understand that unforeseen circumstances such as illness, family emergencies, or other urgent matters may arise. In such cases, speakers are encouraged to notify the Conference Planning Committee as soon as possible to discuss alternative solutions.
Professional Responsibility We expect all speakers to demonstrate professionalism by adhering to their commitment to the conference. Speakers who cancel without valid reasons or fail to provide timely notice may not be invited to participate in future Partners of the Americas events.
